Crowdfunding Policy

1. Policy Purpose

The purpose of this policy is to provide clarity and structure regarding Vernal Voyage Studios’ publication and management of crowdfunding projects across platforms such as Kickstarter, Gamefound, and BackerKit.

This document serves as a guide for both existing and potential backers, explaining what Vernal Voyage Studios LLC commits to deliver when you pledge to support our campaigns and affiliated crowdfunded projects.

We acknowledge that crowdfunding is an evolving ecosystem. This policy may be periodically updated to reflect operational improvements, changes in applicable U.S. regulations, or new best practices for transparency and community engagement.

2. Final Product Designs

As is typical for crowdfunded projects, the final manufactured product may differ slightly from what is presented during the campaign phase.

Vernal Voyage Studios reserves the right to modify or improve designs up to the point of fulfillment. All such changes will be made in the best interest of product quality, play experience, and production feasibility, and we will communicate updates promptly to all backers.

Possible design adjustments include, but are not limited to:

  • Artwork and graphic design
  • Game mechanics or balance
  • Materials and finishes
  • Packaging, dimensions, or component layouts
  • Narrative or manuscript revisions

Our foremost commitment is to our backers. Every design decision prioritizes durability, usability, and long-term enjoyment.

3. Project Timelines

At campaign launch, Vernal Voyage Studios will provide estimated delivery dates for each reward tier. However, due to the complexity of global manufacturing and logistics, these are estimates, not guarantees.

We reserve the right to extend or adjust production or delivery schedules in response to:

  • Manufacturer or freight delays
  • Supply-chain disruptions
  • Force majeure events (e.g., natural disasters, global crises)

All material changes to the production or delivery timeline will be communicated to backers with reasonable notice through official project updates.

4. Address Confirmation & Delivery Obligations

By confirming your pledge and submitting your shipping information through the Pledge Manager, you authorize Vernal Voyage Studios to ship your order to that address.

We are not obligated to fulfill orders to addresses not entered or confirmed within the designated Pledge Manager system. It is the backer’s sole responsibility to ensure that shipping details are accurate and up to date prior to the address-lock deadline.

Backers are responsible for paying any applicable import duties, VAT, or local taxes imposed by their jurisdiction. We will endeavor to disclose expected costs in advance when known.

Once products are transferred to our designated shipping partners, our fulfillment obligations are considered met. Responsibility for transit, customs clearance, or local delivery lies with the shipping carrier.

5. Resending Missing Products

If you receive an incomplete order, please contact support@vernalvoyage.com within 14 days of delivery with the following information:

  • Full name and mailing address
  • Order or pledge number
  • Clear list of missing item(s)

Requests submitted after 14 days may not be eligible for replacement. Each claim will be reviewed on a case-by-case basis.

6. Resending Damaged Products

If your order arrives with a damaged product, please contact support@vernalvoyage.com within 14 days of receipt, including:

  • Mailing address
  • Contact name and phone number
  • Clear description of the damaged item(s)
  • Photographic evidence of the damage

Upon review, Vernal Voyage Studios will determine whether a replacement is warranted. We reserve the right to decline replacement requests for damages deemed cosmetic, minor, or caused by misuse or improper handling after delivery.

7. Resending to Incorrect Addresses

We are under no obligation to resend products to addresses other than the one listed in the Pledge Manager. If a change of address is required, please notify support@vernalvoyage.com prior to the address-lock deadline.

Once addresses are locked and shipping has commenced, reshipment costs for any returned or misdelivered parcels will be the backer’s responsibility.

8. Digital Rewards

Backers will be notified via email or project update when digital rewards become available. These are typically distributed through the project’s Pledge Manager and may include direct download links or access codes.

Digital content must be downloaded within 90 days of availability. After the project’s digital distribution window closes, Vernal Voyage Studios cannot guarantee re-delivery of digital files.

9. Rewards Requiring Additional Information

Certain rewards may require input from backers (e.g., custom names, survey answers, or personalized items). Backers must respond within 4 weeks of receiving the information request.

If the required information is not submitted within that timeframe, Vernal Voyage Studios reserves the right to proceed with production without the missing data. The backer’s pledge will then be considered fulfilled.

10. Closure of Crowdfunding Project Post-Fulfillment

The Pledge Manager for each crowdfunding project will open within 60 days after the campaign concludes. During this period, backers will receive key project milestones, including estimated fulfillment timelines.

Once fulfillment begins, the Pledge Manager will remain open for six (6) months to accommodate outstanding backer submissions. After this period, Vernal Voyage Studios may close the Pledge Manager and is under no further obligation to fulfill incomplete pledges.

Advance notice will be provided to backers before closure.

11. Additional Terms & Conditions

By pledging to a Vernal Voyage Studios or affiliated crowdfunding campaign, you agree to all terms set forth in this policy, as well as our Terms & Conditions of Service and Refunds & Returns Policy.
